147 invoice templates from 42 designs. Every design comes in two or more colourways and an Arabic version, and every template is free during the launch phase, with no account needed.
An invoice is the document a seller sends a buyer to ask for payment for goods delivered or work done. It says what was supplied, at what price, how much tax was charged and when payment is due. Once it is paid it is the seller's record of the sale and the buyer's proof of the cost, and where VAT applies it is the document the buyer reclaims that VAT on.
An invoice template decides how that information is laid out: your logo and details at the top, the customer under "Bill To", the lines, the tax and the amount due, then your payment details and a signature. Changing the template changes the layout and colours, never the figures.
Send the invoice when the goods are delivered or the work is done, or at the stage your contract sets. Before the sale the document is a quotation: an offer the customer may accept, which creates no debt. If the customer ordered on their own purchase order, put its number on your invoice so their accounts team can match the two. After they pay, a receipt confirms that the money arrived; it does not replace the invoice.
A proforma invoice is an advance copy sent before delivery, often so the buyer can arrange payment, a letter of credit or an import permit. The Proforma design suits it: it carries the references a bank or customs broker asks for, such as the Incoterm, country of origin and HS code. Change the heading to "Proforma Invoice" in the Document Title field so it is not mistaken for the final invoice.
When you choose the currency, the invoice generator suggests that country's standard VAT rate and fills it into lines that have no tax yet: 15% for the Saudi riyal, 5% for the UAE dirham, 14% for the Egyptian pound. Change any line where a different rate applies. In Saudi Arabia and the UAE a full VAT invoice is headed "Tax Invoice"; set that, or «فاتورة ضريبية» on an Arabic invoice, in the Document Title field. For other systems the generator has India GST, US sales tax and EU/UK VAT modes, which add the fields those systems ask for, such as GSTINs and the customer's VAT number.
For Saudi Arabia the invoice generator has a ZATCA Phase 1 QR code switch: enter your 15-digit VAT registration number and the QR code, carrying the seller's name, VAT number, timestamp, invoice total and VAT, prints on the invoice. It belongs to the invoice, not to a design, so it stays on whichever template you choose. Xuvilo is not an e-invoicing solution: it does not clear or report invoices to ZATCA, so confirm with your accountant how your invoices meet your obligations.
Every invoice design has an Arabic version. Choose it, or use Xuvilo in Arabic, and the invoice prints right to left with Arabic labels and «فاتورة» as its heading; otherwise it prints in English. An invoice prints in one language, so a customer who needs both gets two invoices. The invoice generator's Number Format setting can also print the figures in Eastern Arabic digits such as «١٢٣», which many Arabic-speaking customers expect on formal documents.
All 42 designs work for invoices. These suit particular kinds of invoice:
Every invoice design, by group:
No. A template sets the layout, fonts and colours. The invoice number, lines, tax and totals stay exactly as you typed them, so you can press Change Template in the invoice generator and compare designs on the same invoice.
Any of them. What makes a tax invoice is its content: your VAT number, the customer's details, the tax per line and in total, and in Saudi Arabia and the UAE the heading "Tax Invoice", which you set in the Document Title field. The design only decides how that content looks.
Yes. Every design has an Arabic version that prints right to left with Arabic labels, even if you use Xuvilo in English. Each invoice prints in one language; if your customer needs Arabic and English, issue it twice.
Yes. The QR code is a switch in the invoice generator, not part of a design, so it stays on when you change template. It is the Phase 1 QR code only: Xuvilo does not clear or report invoices to ZATCA.
The references a trade's invoices are matched on. Payment Certificate adds a contract number, certificate number, retention percentage and valuation date; Commercial Invoice adds an Incoterm, country of origin and HS code; Clinic Card adds a patient reference, insurer and policy number. Only the fields you fill in are printed.
