What a receipt is, and who issues it

A receipt is the seller's written confirmation that money has been received: how much, from whom, on what date and how it was paid. You give it to the customer at the moment they pay, in full or in part, and it is their proof that the payment was made.

A receipt template is simpler than an invoice template because a receipt has no line items. It lays out the receipt number and date, "Received From", the amount received, the payment method and a reference, with a signature and stamp area at the foot.

Receipt or invoice?

The invoice comes first and asks for payment; the receipt comes after and confirms it. A customer who pays an invoice in three instalments gets one invoice and three receipts, each quoting the invoice number in its Reference Number. When the customer pays on the spot, issue both the same day: the invoice for the sale, the receipt for the money.

Receipts also cover money that is not a sale: a deposit held against a booking, rent from a tenant, school fees, or a donation to a charity. Say what the payment was for in the notes.

What a receipt template prints, and why

Receipts and VAT

Xuvilo's receipt records one amount with no tax lines and no ZATCA QR code. Where VAT applies, the customer's VAT claim rests on the tax invoice, so a business customer who needs to reclaim VAT needs the invoice from the invoice generator as well; the receipt then confirms it was paid.

Arabic receipts

Every receipt design has an Arabic version. Choose it, or use Xuvilo in Arabic, and the receipt prints right to left headed «إيصال», with «استلمنا من» before the payer's name and the payment method in Arabic: «نقداً», «تحويل بنكي», «شيك» or «بطاقة».

Receipt designs to start from

36 designs are offered for receipts: the signature series and a few others are kept for business documents, and one design is made for receipts alone. These suit particular kinds of payment:

How to make a receipt from a template

  1. Open a receipt design and press Use This Template. The receipt generator opens with it applied.
  2. Enter who paid, the amount actually received, the method and the invoice or transfer reference. Press Change Template at any time: the receipt switches in place and nothing you typed is lost.
  3. Press Download PDF and hand it over or send it the same day. The receipt guide lists the mistakes to avoid.

Frequently asked questions

Is a receipt the same as an invoice?

No. An invoice asks for payment and a receipt confirms that payment arrived. Where VAT applies, the customer reclaims it on the tax invoice, not on the receipt, so a business customer usually needs both.

Can a receipt template show VAT or the ZATCA QR code?

No. Xuvilo's receipt records a single amount received, with no tax lines and no QR code. Issue the tax invoice from the invoice generator, where the ZATCA Phase 1 QR code is available, and the receipt when it is paid.

How do I write a receipt for a part payment?

Enter only the amount you received, put the invoice number in Reference Number, and note the balance still due in the notes. Each later instalment gets its own receipt.

Why are there fewer receipt designs than invoice designs?

The signature series and a few other designs, such as Spotlight and Proforma, are offered for business documents but not for receipts. One design, Modern Receipt, exists only for receipts.
