Who it is for
Contractors, suppliers, agencies and freelancers pricing work for customers in Saudi Arabia, the UAE, Egypt, Libya and the rest of the Arab world, and companies elsewhere quoting a buyer who works in Arabic. It also suits a reply to a tender or a request for quotation that asks for the offer in Arabic.
What an Arabic quotation needs
- A quotation number and date, and the buyer's RFQ or tender reference when you are answering one, so your offer is filed against their request.
- A validity date. Buyers compare offers over weeks, and an offer with no end date can be held against you after your costs have changed. Many tenders set the validity period themselves, in days from the date of the offer.
- Prices that make the VAT plain: each line before tax, then the tax, then the total with tax. Standard rates are 15% in Saudi Arabia, 5% in the UAE and Oman, 14% in Egypt and 10% in Bahrain, with a 16% general sales tax in Jordan; Kuwait, Qatar and Libya have no VAT.
- Terms in writing: the advance you need, when the balance falls due, the delivery period counted from the purchase order, and what the price leaves out, such as shipping or installation.
- Arabic set right to left, with the customer's name and the item descriptions in Arabic. Model numbers, codes and email addresses stay in Latin script inside Arabic lines, so check them in the preview.
How to write it in Xuvilo
- Open the quotation generator. The button on this page opens it in Arabic, so the quotation prints right to left with an Arabic heading and labels.
- Choose the currency first: the generator suggests that country's standard VAT rate and fills it into lines that have no tax yet. Change any line where a different rate applies.
- Set the Valid Until date, and write your payment and delivery terms in the Terms & Conditions box; both print on the quotation.
- Answering a tender? The Public Tender design adds Tender / Grant Ref. and Authority fields to the quotation.
- Add your logo, stamp and signature, then press Download PDF, or send the quotation with the WhatsApp or Email button.
- When the customer accepts, use Export CSV on the quotation's lines and Import CSV in the invoice generator, and the invoice starts with the same items. There is no one-click conversion.
Frequently asked questions
Can I set how long the quotation is valid?
Yes. Set the Valid Until date and it prints on the quotation. If a tender asks for a validity of, say, 90 days, count the days from the quotation's date and enter the date you reach.
Does the quotation show VAT separately?
Yes. Each line carries its own tax rate, and the totals show the subtotal, the tax and the total. Choosing a currency suggests that country's standard rate, 15% for the Saudi riyal or 5% for the UAE dirham, which you can change on any line.
Can I make an invoice from an accepted quotation?
Not with one click. Export the quotation's lines as a CSV file and import it in the invoice generator, so the invoice starts with the same items and prices; then put the quotation number in the invoice's notes so both sides can match the two documents.
