Xuvilo's free expense report builder turns a folder of receipts into the document finance actually wants: one row per expense, each carrying its date, its category and the VAT you can recover, totalled on an A4 PDF ready for sign-off. Employees, contractors and consultants use it to claim back what they have spent; office managers use it to standardise what their team submits. It runs entirely in your browser, supports 176 international currencies, exports a print-ready PDF, and no account is required for the core flow.
Step 1. Open the expense report builder and enter your details once — they are remembered in your browser — then name the employer or client you are claiming from.
Step 2. Add one row per receipt, in date order. Pick the category, write the business purpose ("Client lunch with the procurement team, PO 88241" beats "Lunch"), and enter the amount and any recoverable VAT.
Step 3. Click "Download PDF", attach your receipts numbered to match the rows, and send it to your approver. Read the full expense report guide for the habits that turn a bounced report into a same-day approval.
An expense report claims reimbursement for money you have already spent on someone else's behalf. An invoice requests payment for goods or services you have provided. They run in opposite directions of the cash flow, and mixing them is the fastest way to have both queried. If a cost should be passed through to a client at a margin, it belongs on an invoice; if you are simply getting your own money back, it belongs here.
Is the expense report builder free? Yes. Build and download as many reports as you want, in any of 176+ currencies, without an account.
Does it support Arabic? Yes — full right-to-left layout, Arabic-friendly fonts, Arabic-first templates, and category names that switch language with the interface.
Can I claim VAT back through it? The builder totals the VAT you enter per line. Whether that VAT is recoverable depends on your country's rules — in Saudi Arabia and the UAE only receipts that qualify as tax invoices count.
Can I record a cash advance I was already paid? Not as a row — amounts on the report cannot be negative. State the advance in the report's notes so the approver deducts it from the total claimed.
Where do the receipts go? Attach them separately, numbered to match the rows. The report is the summary an approver signs; the receipts are the evidence behind it.
