South African B2B payments are dominated by EFT bank transfers, with the newer PayShap instant rail growing for smaller amounts; cheques were formally phased out by the banks at the end of 2020 and are effectively extinct. Corporate payment culture runs on strict net-30 'end of statement month' terms, and suppliers commonly send monthly statements in addition to individual invoices — a habit that surprises foreign freelancers. QR-code payments via SnapScan and Zapper cover consumer-facing trade, while load-shedding-era digital adoption pushed even small businesses onto accounting platforms. Invoicing is in rand, and exchange-control rules mean cross-border receipts flow through authorised dealer banks with balance-of-payments reporting codes.
Step 1. Open the South Africa invoice generator. Currency and tax are pre-loaded for you. Fill in your business details and logo; signed in, the company profile you save under Settings fills them in for you.
Step 2. Add your customer and your line items. Quantity, unit price and tax update the totals automatically. Switch language between Arabic & English as needed; Xuvilo flips the layout to RTL or LTR for you.
Step 3. Click "Download PDF". Your South Africa invoice is generated as a print-ready A4 file in ZAR, ready to email to the client or attach to your accounting system.
South Africa applies 15% VAT on most invoiced goods and services, so Xuvilo defaults the tax rate to 15% VAT on the South Africa invoice. You can override the rate per line, exclude exempt items, or add multiple tax components if your business requires it.
The tax authority responsible for South Africa is SARS (South African Revenue Service). VAT registration is compulsory once taxable turnover exceeds R1 million in any 12-month period, with voluntary registration possible from R50,000 — verify current rules with SARS.
South Africa has no mandatory e-invoicing regime: electronic invoices are legally valid and widely used, but there is no clearance platform or fiscal device requirement. SARS has signalled interest in VAT modernisation and real-time digital reporting in discussion papers, so a future mandate is plausible — monitor SARS announcements. For now, a compliant tax invoice simply needs the prescribed content, including the supplier's VAT number for invoices above the R5,000 full-invoice threshold.
Xuvilo isn't only an invoice generator. The same business profile powers a free quotation generator for sending price quotes before a deal is signed, a free receipt generator for confirming payments after they're made, and a 859 template library for industry-specific designs. Most South Africa businesses go through quote → invoice → receipt for every project, and Xuvilo covers all three.
The standard rate is 15%. A proposed increase in the 2025 budget was reversed after political pushback, so 15% remains the rate to apply — but verify with SARS if invoicing around budget season. Tax invoices over R5,000 must show full prescribed details including both parties' VAT numbers where applicable.
No — South Africa currently has no e-invoicing mandate or fiscal devices. PDF invoices sent by email are fully valid tax invoices if they contain the SARS-prescribed content. SARS has floated VAT digital-reporting modernisation, so this may change in coming years.
Exported services to non-resident clients are generally zero-rated for VAT, and invoicing in USD, GBP or EUR is common. Inbound foreign payments are processed through your bank as an authorised dealer under exchange-control reporting, so expect your bank to ask for the invoice as supporting documentation.
Local corporate practice is to pay suppliers off a month-end statement rather than individual invoices, typically 30 days from statement date. Sending a statement that lists all outstanding invoices at month-end materially improves your chances of being paid on time in South Africa.
