Xuvilo's free invoice generator for Netherlands is a browser-based tool that lets freelancers, traders, contractors and small businesses create a professional invoice in under sixty seconds. The Netherlands invoice generator pre-loads the correct currency (EUR) and the local tax rate (21% BTW), supports both Arabic & English with proper layout, runs entirely in your browser so your customer information stays on your device, and exports a clean A4 PDF you can email or print. There is nothing to install, no account is required for the core flow, and during our launch phase every tool is free.

Dutch invoices show the supplier's KVK number (Chamber of Commerce registration) and btw-id, both legally required, and businesses are famously prompt administrators — the statutory payment term is 30 days, with large corporates barred from imposing more than 60 days on SME suppliers. Payment is virtually always by SEPA transfer, and consumer-facing or small-business invoices frequently embed an iDEAL payment link, the online banking method that dominates Dutch payments. Zzp'ers (freelancers) invoice in euros with 21% BTW itemised, and reverse-charged EU work is labelled "btw verlegd". English-language invoices are widely accepted in the internationally minded Dutch market.
Step 1. Open the Netherlands invoice generator. Currency and tax are pre-loaded for you. Fill in your business details and logo; signed in, the company profile you save under Settings fills them in for you.
Step 2. Add your customer and your line items. Quantity, unit price and tax update the totals automatically. Switch language between Arabic & English as needed; Xuvilo flips the layout to RTL or LTR for you.
Step 3. Click "Download PDF". Your Netherlands invoice is generated as a print-ready A4 file in EUR, ready to email to the client or attach to your accounting system.
Netherlands applies 21% BTW on most invoiced goods and services, so Xuvilo defaults the tax rate to 21% BTW on the Netherlands invoice. You can override the rate per line, exclude exempt items, or add multiple tax components if your business requires it.
The tax authority responsible for Netherlands is Belastingdienst (Dutch Tax and Customs Administration). The Dutch small-business scheme (KOR) lets businesses with annual turnover under EUR 20,000 opt out of charging BTW — verify conditions with the Belastingdienst.
The Netherlands has no B2B e-invoicing mandate: businesses invoice freely by PDF or paper, though e-invoicing is mandatory for suppliers to the Dutch central government, which receives via the Peppol network. The Netherlands is an active Peppol country and adoption among larger firms is high on a voluntary basis. EU-level ViDA reforms will eventually require structured e-invoicing for intra-EU trade, so monitor Belastingdienst guidance for timelines.
Xuvilo isn't only an invoice generator. The same business profile powers a free quotation generator for sending price quotes before a deal is signed, a free receipt generator for confirming payments after they're made, and a 859 template library for industry-specific designs. Most Netherlands businesses go through quote → invoice → receipt for every project, and Xuvilo covers all three.
The standard BTW rate is 21%, with 9% for essentials like food, books and repairs, and 0% for exports and intra-EU supplies. Invoices must display your btw-id and KVK number, and KOR participants issue invoices without BTW, noting the exemption.
Only when supplying the Dutch central government, which requires e-invoices, typically over Peppol. B2B invoicing remains format-free, though many Dutch corporates prefer Peppol or structured formats voluntarily, and EU ViDA rules will introduce structured cross-border requirements in the coming years.
For B2B services to clients elsewhere in the EU, the VAT is reverse-charged: you invoice at 0% with the note "btw verlegd", quote both VAT numbers, and report the sale in your ICP declaration. Payments arrive by SEPA transfer in euros, normally within the agreed 30 days.
iDEAL is the Netherlands' dominant online payment method, letting the payer authorise a transfer directly from their own bank. Adding an iDEAL link or QR to invoices is a distinctly Dutch habit that gets small invoices paid in days rather than weeks, especially with consumer and sole-trader clients.
