M-Pesa is inseparable from Kenyan invoicing: businesses print a Lipa na M-Pesa Paybill or Till number directly on invoices, and even sizeable B2B payments move over M-Pesa or Pesalink bank transfers rather than cheques. Nairobi's corporate scene works on net-30 terms, but late payment stretching to 90 days is a chronic complaint, especially with government and large-buyer contracts. Freelancers serving foreign clients typically invoice in USD and receive funds via Wise, Payoneer or direct SWIFT into KES accounts. An invoice without a valid eTIMS QR code is increasingly treated as unusable by corporate clients, since they cannot deduct the expense.
Step 1. Open the Kenya invoice generator. Currency and tax are pre-loaded for you. Fill in your business details and logo; signed in, the company profile you save under Settings fills them in for you.
Step 2. Add your customer and your line items. Quantity, unit price and tax update the totals automatically. Switch language between Arabic & English as needed; Xuvilo flips the layout to RTL or LTR for you.
Step 3. Click "Download PDF". Your Kenya invoice is generated as a print-ready A4 file in KES, ready to email to the client or attach to your accounting system.
Kenya applies 16% VAT on most invoiced goods and services, so Xuvilo defaults the tax rate to 16% VAT on the Kenya invoice. You can override the rate per line, exclude exempt items, or add multiple tax components if your business requires it.
The tax authority responsible for Kenya is KRA (Kenya Revenue Authority). VAT registration becomes mandatory when taxable turnover reaches KES 5 million in a 12-month period — verify with the KRA, as the Finance Act revises thresholds periodically.
Kenya requires electronic tax invoices through eTIMS (electronic Tax Invoice Management System), which replaced the older ETR hardware regime. Since January 2024, virtually all businesses — including non-VAT-registered ones — must generate eTIMS invoices, because expenses not supported by an eTIMS invoice are disallowed for income tax deduction. KRA offers free eTIMS software options including a mobile app and USSD-based solutions for small traders.
Xuvilo isn't only an invoice generator. The same business profile powers a free quotation generator for sending price quotes before a deal is signed, a free receipt generator for confirming payments after they're made, and a 859 template library for industry-specific designs. Most Kenya businesses go through quote → invoice → receipt for every project, and Xuvilo covers all three.
The standard rate is 16% on most goods and services, with a reduced 8% rate historically applied to fuel and zero-rating for exports. Only VAT-registered businesses (above KES 5 million turnover, or voluntarily registered) charge VAT on invoices.
Yes — since January 2024 Kenya extended electronic invoicing beyond VAT-registered businesses, because business clients can only deduct expenses backed by an eTIMS invoice. KRA provides free options, including eTIMS Lite via USSD for very small traders.
Exports of services are zero-rated for VAT, and invoicing foreign clients in USD is routine for Kenyan freelancers and agencies. Payments usually arrive via Wise, Payoneer or SWIFT, and income must still be declared to the KRA in shillings.
Absolutely — a Lipa na M-Pesa Paybill or Till number on the invoice is standard Kenyan practice, even for B2B. For larger sums, Pesalink bank-to-bank transfers are common, but M-Pesa remains the default rail for anything up to its transaction limits.
