How businesses in Germany invoice and get paid

German invoices are paid almost exclusively by SEPA credit transfer (Überweisung), with the supplier's IBAN printed on the invoice; direct debit (SEPA-Lastschrift) is common for recurring billing and card payments are rare in B2B. Section 14 of the VAT Act (§14 UStG) prescribes mandatory invoice contents, including a sequential, unique invoice number (Rechnungsnummer), the supplier's Steuernummer or USt-IdNr, and the delivery date. Payment within 30 days is the statutory default, and skonto — an early-payment discount of 2-3% for paying within 10-14 days — is a distinctly German habit still offered widely. Invoices to German clients are expected in German, with amounts in EUR.

Why Germany businesses choose Xuvilo

What's on every Germany invoice

How to create a Germany invoice in three steps

Step 1. Open the Germany invoice generator. Currency and tax are pre-loaded for you. Fill in your business details and logo; signed in, the company profile you save under Settings fills them in for you.

Step 2. Add your customer and your line items. Quantity, unit price and tax update the totals automatically. Switch language between Arabic & English as needed; Xuvilo flips the layout to RTL or LTR for you.

Step 3. Click "Download PDF". Your Germany invoice is generated as a print-ready A4 file in EUR, ready to email to the client or attach to your accounting system.

Tax in Germany

Germany applies 19% MwSt on most invoiced goods and services, so Xuvilo defaults the tax rate to 19% MwSt on the Germany invoice. You can override the rate per line, exclude exempt items, or add multiple tax components if your business requires it.

The tax authority responsible for Germany is Local Finanzamt for domestic businesses; Bundeszentralamt für Steuern (BZSt) for VAT IDs and foreign businesses. Under the Kleinunternehmerregelung, businesses with prior-year turnover up to EUR 25,000 (limit raised in 2025) may stay VAT-exempt — verify current limits with your Finanzamt.

E-invoicing rules in Germany

Since 1 January 2025, all German businesses must be able to receive structured e-invoices (EN 16931 formats such as XRechnung or ZUGFeRD) for domestic B2B transactions — a PDF no longer counts as an e-invoice. The obligation to issue structured e-invoices phases in from 2027 for larger businesses and is planned to cover all companies by 2028; verify the exact schedule with the BZSt or your Finanzamt. B2G e-invoicing via XRechnung has been mandatory for suppliers to federal authorities since 2020.

Beyond invoices — quotations and receipts for Germany

Xuvilo isn't only an invoice generator. The same business profile powers a free quotation generator for sending price quotes before a deal is signed, a free receipt generator for confirming payments after they're made, and a 859 template library for industry-specific designs. Most Germany businesses go through quote → invoice → receipt for every project, and Xuvilo covers all three.

Frequently Asked Questions — Germany

What is the MwSt rate and how must it appear on German invoices?

The standard Mehrwertsteuer (Umsatzsteuer) rate is 19%, with 7% reduced for food, books and local transport. Invoices must itemise the net amount, the tax rate and the tax amount, and carry either your Steuernummer or your USt-IdNr per §14 UStG. Kleinunternehmer instead add a note that no VAT is charged under §19 UStG.

What are Germany's e-invoicing rules from 2025?

All businesses must be capable of receiving EN 16931-compliant e-invoices (XRechnung or ZUGFeRD) for domestic B2B supplies since January 2025. Issuing structured e-invoices becomes compulsory in phases from 2027, so businesses should adopt compatible software early — confirm deadlines with the BZSt.

Can I invoice a German company in English or a foreign currency?

Legally yes — German VAT law accepts invoices in other languages and currencies, though the tax amount must be determinable in euros and the Finanzamt may request a translation. In practice, German accounting departments strongly prefer German-language, EUR-denominated invoices with a proper sequential Rechnungsnummer.

What is skonto and should I offer it?

Skonto is a traditional German early-payment discount, typically 2% or 3% if the client pays within 10 to 14 days instead of the full 30-day term. It is widely expected in trades and manufacturing and can meaningfully shorten your average collection time, but you should price it into your rates.

Is Xuvilo free?

Yes. During our launch phase every core tool is free, with no sign-up and no payment details: create as many invoices, quotations and receipts as you need and download them as PDFs. Paid plans are coming soon, and the Pricing page shows what the Free plan will include once they launch.

Can I export to PDF?

Yes, all documents export instantly as professional A4 PDFs ready to print or share by email.

Does it support Arabic and English?

Yes. Switch Xuvilo between Arabic (right to left) and English (left to right) at any time; each document prints in one language: Arabic when you are using Xuvilo in Arabic or have chosen an Arabic template, English otherwise; and every field accepts text in either language.
